Basic Email Writing

 

The topic of your email is a basic request: you are asking your professor for a letter of recommendation. You will take the information below and present it to your professor in approximately two or three brief paragraphs (note: salutations and “sign-offs” are not considered paragraphs).

 

Here is the information you should consider including in your email (this information is not in order; you must order the information logically in your email).

 

There are 9 key pieces of information to convey to your Professor.

You earned a 90% in the COMM class you took with the professor (additional identifying information would be helpful)
You need a reference letter
The job posting you are applying to closes on January 30th
You are applying for a position as a PSW at Residence One, 123 Main Street, Anytown, ON, N1N 2P3
You are grateful for the professor’s time and help
You are willing to offer the professor any materials they may need to write the letter
You took COMM 1133 in Fall of 2022
The reference letter must be delivered, either by postal mail or email, to Alice Wong in the Human Resources Department of the employer by January 25th. Her email address is A..g@ResidenceOne.ca
Residence One provided instructions for letter writers, which includes a set of three questions the writer must answer (“how long have you known the applicant?” “is the applicant capable of working independently?” “what is the applicant’s academic and workplace ability?”)

 

This assignment should follow these steps:  

 

Determine the best order for these 9 pieces of information – what should come first and what should come last?

 

Draft a professional email that includes each of the 9 pieces of information listed and demonstrates a grasp of lessons to date.

 

Edit your email by reading it out loud to yourself; catch typos or awkward phrasing and rewrite any sections that sound ineffective or unclear.

 

Proofread your email once more, looking for any obvious errors.
