THE COMMUNITY SERVICE I CHOOSE: https://glebeyouth.org.au

Develop and communicate policies and procedures

For this section you will assume you are employed at your chosen community services organisation or a specific type of community services organisation (such as a disability service provider, aged care service provider, mental health services provider and so on) – the choice is yours.

Policy 1 should support legal compliance.
Policy 2 should support ethical compliance.

In developing Policy 1, you will need to do the following:

determine the scope of compliance requirements relevant to the work areas within the service that would be using the policy and procedure (this could be for a specific work area/department or for the entire organisation)
identify sources of information about compliance requirements that would be relevant to the policy
outline the circumstances where the need for specialist legal advice might be required.

In developing Policy 2, you will need to do the following:

consider the scope of practice for employees in regards to ethical practice
evaluate the ethical responsibilities of employees, clients and the broader community

Both policies and procedures must fulfil the following criteria:

They must be in a readily accessible format.
They must be clearly written, which means that they should be free of spelling and grammatical errors, and be easy for employees to understand.
Include integration of documentation and record keeping requirements.
Outline systems to protect client information.
Nominate the roles and responsibilities of relevant personnel (that is, which roles would be impacted by the policy).

We have not provided you with a template in which to develop your policies and procedures. You will need to demonstrate your understanding of what is included in a policy and procedure and place this information into an appropriate format. At a minimum, your policy and procedure should include sections for:

scope
responsibilities
policy statement
procedures.

Use your knowledge to include additional sections to your policy documentation.

When you have developed your policies and procedures, you will need to submit copies electronically to your assessor – who will assume the role of your supervisor. You will do this via email. Attach a brief report to your email summarising how each policy meets the criteria listed above.

Also attach your policies and your report to this Portfolio.

Once your assessor has marked your policies and procedures, you will share them with your classmates as though they are your colleagues. Your assessor will advise as to whether you will do this electronically (such as via email) or by sharing hard copies.
